Real estate CRM and pipeline stages: set yours up in a day
A useful real estate CRM answers one question every morning: who should I talk to today, and why? Set up six to eight stages, capture a handful of fields, automate the first response and the slow drip, and review the pipeline once a week.

Pipeline stages that work for sellers
1
New inquiry
Someone raised a hand and nobody has spoken to them yet.
2
Contacted
You reached them and confirmed who they are and what they want.
3
Qualified
Owner confirmed, timeline known, and a reason to act.
4
Appointment set
A listing appointment is on the calendar.
5
Appointment held
You met, presented, and are waiting on a decision.
6
Listed
Signed listing agreement.
7
Nurture
Not ready. Stay in touch with the slow drip.
Fields worth capturing
- Source (which ad, referral, or event)
- Owner status and property address
- Timeline and reason for moving
- Whether they have talked to another agent
- Last contact date and next step
Automations worth adding first
- Instant first response to every new inquiry
- A reminder if a new inquiry has not been contacted in a set time
- The follow-up sequence from the follow-up guide
- A monthly touch for Nurture contacts
The weekly review
Once a week, look at three lists: new inquiries not yet contacted, appointments this week, and Nurture contacts due for a touch. If any list is long, the process needs fixing, not more leads.

Common questions
How many pipeline stages should a real estate CRM have?
Six to eight is enough for most agents. More stages usually mean fewer of them get updated.
What is the most important CRM feature for agents?
Speed and reliability of first response and reminders. A CRM that leaves new inquiries waiting is not doing its job.
Do I need a CRM if I only get a few leads a month?
A simple one still helps, because the value is in the reminders and the long follow-up, not the volume.
